The Program Development Associate position provides administrative and operational support to the Program Development Team. S/he supports all efforts to ensure that the company’s funding base expands to meet the growth and diversification goals set by IntraHealth leadership. Her/his priority is to support the submission of proposals and applications to the US government, corporations, foundations, and bilateral and multilateral organizations; and to support as needed the fund development activities of the organization. The position will be familiar with IntraHealth staff, policies, and procedures and work within these procedures while performing her/his duties.
S/he will assist in streamlining systems; support the management of complex proposal efforts; collate and collect required proposal edits with internal IntraHealth staff and partners; edit resumes and write biosketches based on resumes; and facilitate the setting up and/or assisting in the coordination of technical, brainstorming, and proposal meetings among internal and external stakeholders. S/he will assist the proposal managers in liaising with finance staff in developing proposal cost applications and associated business documents. S/he will liaise with partner organizations as appropriate to coordinate the exchange of proposal documentation and information. The position will be expected to contribute to the team’s knowledge management systems and contribute to organization-wide knowledge sharing and database development.
This person should bring a professional demeanor and an ability to represent the organization to external partners and clients, have the capacity to articulate well the organization’s mission and technical capacities, and handle confidential information with sensitivity and integrity. The preferred candidate will be a self-starter, capable of working well in both team environments and independently, and capable of managing deliverables under tight deadlines. This position reports to a Program Development manager, with some work reporting to the Director of Program Development.
Responsibilities include serving as administrative support to the unit; scheduling and supporting meetings related to the unit; assisting in the scheduling of business development activities agency-wide; supporting the monitoring, tracking, and forecasting of funding opportunities through maintaining systems, scheduling related meetings among NB and other staff, and monitoring tasks and next steps; providing selected research on the Web and other, as needed. Interact and represent IntraHealth to an array of external clients and stakeholders, such as partner agencies and technical consultants; collaborating with consultants and potential staff to obtain current CVs and biodatas; liaising with Contracts Unit to approve consultant rates; review and issue consultant scopes of work and hiring letters; and process invoices and check requests; contribute to organizational knowledge management by populating shared drives with proposal specific documents; assisting with initiative-specific deadline management and accountability; ensuring proposal components are finalized on time and to standard; analyzing relevant proposal information and requirements and create systems for tracking and managing information; supporting proposal teams to create and format charts, tables, matrices, etc.; contributing to the development of proposal budgets by calculating new staff and consultant daily rates and determining appropriate staff salaries using IntraHealth guidelines and FSN scales; developing job descriptions for proposed positions, in accordance with staffing and management section of proposal; formatting documents electronically, editing and proofreading selected proposal components; collecting, collating, and quality checking proposal, including assembling and photocopying.
Requirements include a bachelor’s degree, in related field preferred; two to three years of experience in related work, or equivalent training, education, or volunteer work; commitment to IntraHealth’s mission; experience in international health field/funding and government agency funding; fast, accurate typing and basic knowledge and comfort with office processes and equipment; willingness to quickly learn about IntraHealth’s programs and technical capacities; sound writing skills, including excellent grammar, punctuation, and spelling; experience with copy editing desirable; very organized and detail oriented; ability to handle occasional long hours and weekend work; ability to multi-task and work independently for timely completion of tasks; professional demeanor and strong oral and written communication skills in English; fluency in French a plus; ability to travel occasionally and, computer proficiency in Microsoft Office Suite, including Word, Excel, Power Point.
